Re-bookings carry the hall. New names fill the rest.

One exhibit-sales firm says re-booking or renewing exhibitors can secure 75% or more of a conference's exhibit revenue. The remaining space, and the gaps left by exhibitors who drop out, need net-new companies. Finding them means working through peer shows' exhibitor lists, finding a contact, writing, following up and sorting replies. Your meetings and exhibits staff do that on top of running the show.

One email campaign for your next show

Companies that already buy booths at peer shows have an exhibit budget for an audience like yours. We find the ones missing from your floor and put your show in front of a named contact, in your association's name. Each interested company is handed to your staff by name and date, and your staff close and invoice as today. You gain revenue only when a booth is paid, which is also when we are paid.

  • The full gap list for your show (estimated at up to about 500 companies), with a named marketing or events contact for each where public pages show one
  • 2 to 3 emails per company over 6 to 10 weeks, sent in your association's name from a subdomain you delegate, offering booths and sponsorship packages from your prospectus
  • Replies answered from your prospectus
  • A weekly email handing over each interested company by name and date, with its question, and a dated lead log
  • A campaign report: emails sent, replies, hand-offs, and introduced companies that later appear on your show's exhibitor list
  • A commission statement for each such company

Start with a free gap list for your show

Our free gap list covers your association's next show. It names about 25 companies that exhibit at 2 or 3 named peer shows in your industry but are not on your current or last exhibitor list. For each one it gives the peer show, the booth size where the floor plan shows it, and a link to its public contact page. A closing paragraph gives how many companies the full gap list holds and the commission term.

  • It cannot show whether your staff have already approached a company.
  • Booth size appears only where the peer show's floor plan shows it.
  • It shows who exhibits where; it does not show whether a company will buy a booth from you.
  • One per association, identified by its website domain.

How it works

  1. We build your gap list

From public exhibitor lists, floor plans and company websites. It needs nothing from you.

  2. You check it

Compare each company with your own floor plan. It takes minutes.

  3. You reply for the order

Reply "send the order". By email we answer your questions, agree which show the campaign is for, check that your prospectus is current and send the email text for comment.

  4. You accept in writing

We email the one-page order. Your executive director, or another person who can sign for the association, replies "Yes, I accept" from its business address, with name and title.

  5. You share what the campaign needs

Your prospectus, your past exhibitor and sponsor list, your in-talks list and your approval of the email template, by email. Your IT contact adds the DNS records we supply, once.

  6. The campaign runs

We email the full gap list in your name and hand you interested companies each week. Commission is owed only on net-new paid contracts.

Price

20% of the first contract value for the campaign's show of each booth or sponsorship bought and paid for by a net-new company we introduced

No up-front fee; nothing is owed otherwise

  • Net-new: the company did not exhibit or sponsor with you in the previous 2 years and is not on the in-talks list of companies your staff are already discussing, which you email us when you accept the order.
  • Introduced: our campaign email to the company was delivered and recorded in the dated lead log we send you each week, and it signs between that email and your show's opening day.
  • Billable: only its first contract for the campaign's show, once your association has received payment for it. Later contracts, other shows and renewals are not billable.
  • We send one commission statement a month by email. Each fee is due 30 days after your association receives the exhibitor's payment, by bank transfer to Internet Physics, Inc.
  • With no attributed paid contract, nothing is owed, and the campaign ends on your show's opening day.
  • Cancel a campaign at any time by replying CANCEL to any email from us. Sending stops within 2 business days. Commission stays due only on companies emailed before the cancellation date that then meet every term of the order.
  • The one-page order states every rule in full. Commission and cancellation rules: https://missingexhibitors.com/guarantee

Not included

  • Phone calls or texts to anyone
  • Contracts, invoicing or taking payment from exhibitors: your staff do this as today
  • Renewal or rebooking of past exhibitors
  • On-site sponsor fulfilment, floor-plan management or prospectus design
  • Access to your systems beyond the shared prospectus, the past-exhibitor list and the delegated sending subdomain

FAQ

You are new. Why should we trust your list?

You do not have to take our word for it. Each company on the gap list is named with the peer show where it exhibits and a link to its own contact page. You can check every one against your own floor plan before you reply. There is no up-front fee: commission is owed only on a net-new company's first paid booth or sponsorship contract.

Who sends the campaign emails?

They go out in your association's name, from a subdomain you delegate to us, using the email template you approve. They offer your booths and sponsorships from your prospectus. Each email carries your postal address and a working opt-out. We honour opt-outs before the next send and keep the suppression list.

Which companies earn you commission?

Only net-new companies we introduced: not exhibitors or sponsors from your previous 2 years, and not companies on your in-talks list. Only the first contract for the campaign's show counts, once your association has been paid for it. Renewals, later contracts and other shows never earn commission.

What do you need from us?

For the gap list, nothing. For a campaign, we ask by email once you accept the order. We need the show's prospectus and your list of exhibitors and sponsors from the previous 2 years. We also need the companies your staff are already talking to, and your approval of the email template. Your IT contact adds the DNS records we supply, once.

How many booths will a campaign bring?

We do not know yet, and we make no promise of a number. A company on the gap list is a prospect, not a sale. The campaign report shows emails sent, replies, hand-offs and introduced companies that later appear on your exhibitor list, so you can see which booths came from the campaign.

How do invoicing and cancelling work?

We send one commission statement a month by email, with the invoice. Each fee is due 30 days after your association receives the exhibitor's payment, paid by bank transfer. You can cancel a campaign at any time by replying CANCEL; sending stops within 2 business days. Commission stays due only on companies emailed before you cancel that then meet every term of the order.

Our association needs its own contract or vendor forms. Is that a problem?

We accept orders by written reply to the one-page order only. You may attach the order and your reply to your own records.

What is not included?

We do not phone or text anyone, sign contracts with exhibitors, invoice them or take their payments. We do not rebook past exhibitors, run on-site sponsor fulfilment, manage the floor plan or design the prospectus. We need no access to your systems beyond the prospectus, the past-exhibitor list and the sending subdomain.
